Gate and Door Access for HOAs: Fobs, Codes, Plate Readers, and Phone Entry Compared
Boards usually come to us asking which access system is best. There is no best. There are tradeoffs, and the right answer depends on how many residents you have, how much turnover, and who is going to administer it.
Key fobs and cards
Cheap, familiar, and everyone understands them. The problem is administration. Fobs get lost, lent to contractors, handed to an ex-spouse, and cloned. Unless someone is actually removing old credentials from the system, the number of working fobs in circulation only goes up. We have taken over communities where the database had more active credentials than residents.
Keypad codes
The cheapest option and the weakest. A shared gate code is known by every resident, every vendor, every landscaper, and everyone who has ever rented a unit. Codes have their place on a service gate, but they are not access control.
Mobile credentials and phone entry
The credential lives on the resident's phone. Nothing to hand out, nothing to lose, and revoking access is instant. Administration gets far easier because you are managing a resident list instead of a box of fobs. Our video intercom systems work this way, and systems like ButterflyMX and CellGate have made this the standard in newer buildings. The catch is that every resident needs a smartphone and needs to actually install the app.
License plate recognition
Residents drive through without touching anything. Nothing to carry, nothing to hand out. It is the smoothest experience there is for a vehicle gate. It does not help you at a pedestrian door, and it needs the right camera in the right position to work reliably at night.
Biometrics
Fingerprint or facial recognition. The credential cannot be lent, lost, or cloned, which solves the biggest weakness of everything above. Best suited to amenity doors, clubhouses, and building entrances rather than vehicle gates.
What we usually recommend
Most communities end up with a mix. Plate recognition or phone entry at the vehicle gate, mobile credentials or biometrics at the amenity doors, and a code reserved for the service gate with a schedule on it. The goal is not one perfect credential. It is making sure whoever administers the system can actually keep it current.
If nobody on the board wants to own that job, that should drive the decision more than any feature comparison. See our HOA security overview for how we handle the ongoing administration side.
