Commercial Door Access Control: Choosing a System You Will Not Regret

Access control is the one system where the decision you make at install determines what the next five years cost you. Cameras are relatively forgiving. Access control involves credentials, software, door hardware and often a subscription, and unwinding a bad choice means touching all four.
The real reason businesses buy it
It is rarely a break-in. In practice the trigger is almost always turnover, accountability, or contractor access. Someone left and still has a key. Something went missing on a Saturday and there is no record of who was in the building. Cleaning crews need access on a schedule rather than permanently, and keys cannot express Tuesdays, 6 to 9pm.
If none of these describes your situation, you may not need access control yet, and we would rather say that than sell you a system you have no problem for.
Credentials: what people carry
Key fobs and cards. Cheap and replaceable, but they get shared and a fob does not know who is holding it.
Mobile credentials. Issuing is instant and remote, nothing to hand back, and people do not lend phones the way they lend fobs. Usually priced per user per year.
Biometrics. The credential cannot be handed over. Worth it for cash handling, controlled inventory and server rooms. Overkill for a front door.
PIN codes. The weakest option and the most commonly shared.
Most buildings end up with a mix, and that is correct. The front door and the parts cage do not need the same standard.
Cloud or on-premise
Cloud platforms are managed from a browser anywhere. Updates handle themselves and multi-site management is straightforward. You pay ongoing, and if the internet is down your management interface is unreachable, though properly configured readers keep enforcing at the door.
On-premise means the software and database live on hardware at your building. You pay once rather than monthly and keep your data on site, but you are responsible for backups, updates and remote access.
The honest framing: cloud costs less up front and more over ten years. On-premise costs more up front and less over ten years, provided someone maintains it. Neither is universally right.
The questions that actually decide it
How many doors, and how many people? Per-door and per-user pricing pull in different directions.
What happens when the internet goes down? Ask specifically whether readers keep enforcing locally.
What happens in a power outage? Which doors fail secure and which fail open is a life-safety question with code implications.
Can I export my credential data? A no here is the definition of vendor lock-in.
Who can add and remove users? If every change requires calling your installer, you will stop making changes.
Does it integrate with the cameras? Pairing an access event with footage at the same timestamp is what turns badged in into an answer.
The part that gets underestimated
The software is the easy half. The door hardware is where projects go sideways. Every door is different: strike type, frame material, whether it is fire-rated, whether there is an existing closer, whether power can reach it. A quote produced without someone physically looking at each door is a guess, and the gap shows up as change orders.
Glass storefront doors in particular, extremely common in South Florida commercial space, have real constraints on what hardware can be fitted.
Gates deserve their own paragraph
If you are securing a gate rather than a door, the run is often the longest on the property, frequently underground, and carries both the reader and often an intercom or plate reader. That is the most surge-exposed hardware on many commercial sites.
